Privacy Policy — CampusTrack Parents Mobile App

Last updated: 16 Oct. 2026 · @Honowa Technologies

1. Purpose and scope

This policy explains what personal data the CampusTrack Parents mobile application (hereinafter "the App") collects, why, with whom it is shared and what your rights are.

The App is made available to the parents, guardians and legal representatives of the pupils and students enrolled in schools that use the CampusTrack platform in SaaS mode (subscription). It enables you in particular to monitor your child's schooling: attendance and absences, grades and report cards, timetable, school fees and payments, and school communications.

What this policy does not cover:

  • the websites, administration platforms and tools used by school staff, which are covered by their own terms;
  • the third-party services (payment operators, app stores) to which the App may redirect you, which apply their own policies.

By using the App, you acknowledge that you have read this policy. It applies in accordance with Cameroonian law no. 2024/017 of 23 December 2024 on the protection of personal data, law no. 2010/012 of 21 December 2010 on cybersecurity and cybercrime, and, where applicable, the other laws applicable in the country of the school.

2. Who is responsible for your data?

Responsibility is shared between your child's school and CampusTrack, depending on the type of data.

We do not use your data or your child's data for targeted advertising, we do not sell it and we take no automated decision producing legal effects concerning you. Any new use that would require it will be subject to your prior consent.

5. Who has access to your data?

Your data is only accessible to the people who need it, each limited to their own scope:

  • your child's school: authorised administrative staff and teachers, for their own school only. A school never has access to the data of another CampusTrack customer school;
  • the other legal representatives of the pupil recorded by the school (for example the second parent), for the child's record concerned only;
  • the authorised CampusTrack teams (support, technical), bound by confidentiality;
  • our technical providers, bound by contract and authorised to process data only on our behalf: host [name], notification service [e.g. Firebase Cloud Messaging], SMS / OTP sending [name], error tracking [name];
  • the payment operators [e.g. MTN Mobile Money, Orange Money, aggregator], to execute the payments you initiate;
  • the administrative or judicial authorities, only upon a legal request.

The other parents in the class never see your child's grades, absences or payments.

6. Hosting, security and retention

Hosting and transfers. The data is hosted on servers located in [hosting country / city]. When certain providers (notifications, SMS sending) process data outside Cameroon, CampusTrack ensures that they offer a sufficient level of protection and frames these transfers with contractual safeguards, in accordance with applicable law.

Security. We apply appropriate measures: encryption of exchanges (HTTPS/TLS), encrypted passwords, separation of data by school, role-based access control, logging, regular backups and security updates. In the event of a data breach presenting a risk to you, we inform the school, the competent authority and, if necessary, the data subjects, within the legal time limits. Protect your account too: do not share your password or OTP codes; CampusTrack will never ask you for them.

Retention periods.

Data Period
Parent account As long as your child is enrolled in a customer school, then deletion or anonymisation within [3] months
School record According to the rules set by the school and its legal obligations; returned or deleted at the end of the contract with the school
Payments and receipts [10] years, the retention period for accounting documents
Technical and security logs [12] months maximum
Messages Duration of the school year, plus [1] year

7. Data of minor pupils

The App is intended for the adults responsible for the pupil, not for children. The data of a minor pupil is only accessible to the legal representatives designated by the school, after verification of their identity.

This data benefits from enhanced protection: it is never used for commercial, profiling or advertising purposes, and the pupil's photo is only shown to their representatives and authorised staff.

For an adult student (for example in BTS or a bachelor's degree), the parent's access is based on the student's consent or on the school's enrolment rules, in particular when the parent pays the school fees.

8. Your rights and how to exercise them

You have the following rights over your data and, as legal representative, over those of your minor child:

  • access: know what data we hold and obtain a copy of it;
  • rectification: have inaccurate data corrected;
  • erasure: request the deletion of your data, subject to legal retention obligations;
  • objection and restriction: object to certain processing based on legitimate interest;
  • withdrawal of consent: at any time, for the processing that depends on it (optional notifications, for example);
  • complaint to the competent personal data protection authority in Cameroon.

How to proceed: write to contact@campustrack.cm. We reply within 30 days. Requests concerning the content of the school record are forwarded to the school, which decides on them.

Delete your account

You can delete your account from Profile > Delete my account, or by writing to contact@campustrack.cm (web request link: campustrack.cm/suppression-compte-campustrack-parent).

Deletion removes your account, your credentials and your preferences within 30 days. Your child's school record, which belongs to the school, and the accounting documents subject to a legal obligation are kept by the school according to its rules.

Changes to this policy

We may update this policy to follow the evolution of the App or of the law. The date of the last update appears at the top of the document; any significant change will be notified to you in the App before it takes effect.
